PROPER USE OF BAR CODES AND SCANNERS


 BAR CODES:


IT IS IMPORTANT THAT EVERYONE READS AND UNDERSTANDS THE CONDITIONS THAT ARE CLEARLY STATED ON THE BAR CODE FORM.  MAKE SURE THAT THE INFORMATION PUT ON THE FORM AND SIGNED FOR IS ACCURATE AND TRUTHFUL. THOSE PERSONS WHO QUALIFY FOR A BAR CODE ARE CLEARLY OUTLINED ON THE FORM. ADDITIONALLY, THE BAR CODE MUST BE PROPERLY ATTACHED TO THE AUTOMOBILE OR GOLF CART. VIOLATIONS ARE SUBJECT TO A FINE AND LOSS OF BAR CODE USE.


PLEASE REMEMBER, THE BAR CODE MAY NOT IN ANY WAY BE ALTERED OR PLACED ON A LOCATION OTHER THAN THAT SPECIFIED WITHOUT THE PRIOR WRITTEN APPROVAL OF LITCHFIELD BY THE SEA (LBTS).


BAR CODES ARE CONTROLLED AND MANAGED BY WACCAMAW MANAGEMENT ON BEHALF OF LBTS.


SCANNED PASS:


SCANNED PASSES ARE ISSUED PRIMARILY BY LBTS RESIDENTS BUT CAN ALSO BE ISSUED BY REALTORS FOR THEIR RENTAL GUESTS AND/OR AGENTS AND EMPLOYEES WHEN WORKING. ALL REALTORS HAVE SIGNED A LETTER OUTLINING THEIR RESPONSIBILTY FOR PROPER USE. IMPROPER USE CAN RESULT IN THEIR PRIVILEGE TO RENT PROPERTIES AT LBTS BEING REVOKED.


RESIDENTS HAVE DIRECT CONTROL OVER ISSUING PASSES FOR THEIR GUESTS. THE RESIDENT ISSUING THE PASS IS RESPONSIBLE FOR THE CONDUCT OF ANYONE USING THAT PASS.


SCANNED PASSES ARE NOT INTENDED TO BE USED TO PROVIDE, LOCAL, “NON-LBTS RESIDENTS”, ACCESS TO THE POOL AT RIVER CLUB OR THE BEACH AT LBTS.


AS RESIDENTS WE PAY FOR THIS PRIVILEGE, DON’T GIVE IT AWAY!!



To All Litchfield By The Sea Residents and New License Plates:

 As many of you may know, the South Carolina Department of Motor Vehicles is issuing new license plates upon renewal of the vehicle registration; however, not all residents of South Carolina will be receiving a new license plate. If you have been issued a new license plate, please send a copy of the new vehicle registration card to me either by email, fax 843.237.1034, or by U.S. Mail to the address listed below.

 To maintain a secure system and accurate data; we must be provided with any vehicle changes including new license plate numbers. Also, if you had a temporary license plate after trading a vehicle and obtained a new barcode at that time, please provide us with a copy of the new vehicle registration card that shows the new license plate number.

 In addition, in the month of April several parking violation tickets were issued by Litchfield By The Sea Security due to “No Visible Pass”. We are able to identify vehicles in the new security system by the license plate number. We found that approximately 85% of the tickets written were to rental guest or guest of a resident. Please remind your guest that the scanned guest pass must be displayed on the dashboard of the vehicle. We will contact the rental agencies to advise of same.

LITCHFIELD BY THE SEA RESIDENTIAL BARCODE POLICY


Waccamaw Management, LLC, AAM will distribute Litchfield By the Sea Community Association, Inc. (“LBTS”) property owner access barcodes. Barcodes give LBTS property owners automatic entry into the community. Barcodes can be obtained from Waccamaw Management, LLC, AAMC (“WM”) between the hours of 8:30 a.m. to 12:00 p.m. then 1:00 p.m. to 4:30 p.m. Monday through Friday.


Each residence will be issued personal barcodes free of charge, provided that all assessments have been paid. Additional barcodes may be issued to immediate family members, specifically limited to sons, daughters, son-in-law, and daughter-in-law. Family member barcodes will cost $20 each. A total of no more than eight (8) barcodes issued to one residence. Residents must submit a vehicle registration and proof of LBTS ownership, if a recent purchase, for each property owner barcodes. Requests for family member barcodes must be accompanied by the vehicle registration form.


All residents that own golf carts MUST have a decal or barcode attached to the golf cart. Residents must sign a statement stating the barcode will be permanently affixed to the golf cart.


Your barcode will allow you access to your community, the beach, and the LBTS pool at River Club, via the main and back gates.


The barcode must be placed on the outside of the passenger side rear window of the vehicle.


If the vehicle is traded the barcode must be removed from the vehicle and returned to LBTS before a new barcode can be issued. If your window is damaged and needs to be replaced you may transfer the barcode or come by WM and a new barcode will be issued for your vehicle. There is a $25 fee for the replacement of a barcode without the old one.


PLEASE REPORT ALL LOST OR STOLEN BARCODES TO LBTS IMMEDIATELY.


LBTS property owner barcodes are the property of LBTS. The Association reserves the right to deny issuance of a barcode or to remove a barcode if it is not used in accordance with the rules and regulation of LBTS. All barcodes are issued to one specific vehicle. Transferring barcodes to another vehicle or requesting barcodes for non-eligible persons will result in a fine and temporary deactivation of the barcode. In addition, barcodes cannot be altered or defaced in any manner. Any exception to the location of a barcode on the vehicle MUST be approved by the Security Committee.


The first offense will incur a fine of $100 and deactivation of the barcode for thirty (30) days. Subsequent infractions will result in a one (1) year deactivation and a $500 fine. Barcode activity will be continually monitored to maintain accurate data.

GOLF CART RULES AND REGULATIONS

LITCHFIELD BY THE SEA ASSOCIATION, INC.


The Security Committee implemented new rules for golf carts entering Litchfield By The Sea property on November 1, 2016.


It is extremely important that ALL Litchfield By The Sea golf carts have either a Litchfield By The Sea sticker or a bar code that is permanently attached. Golf cart owners are not allowed to hold the barcode up to the barcode reader for entry into any Litchfield By The Sea Community; it MUST be permanently affixed to the golf cart.


There are no exceptions to the above rules, and each resident has signed a binding document stating the barcode will be permanently attached to the golf cart.


Unauthorized golf carts that are not properly identified with Litchfield By The Sea identification or rental company identification, along with a copy of the rental form on file with our guards, will be subject to towing at the owner’s expense. Violation of the golf cart rules will result in one warning, any further violation will result in the barcode being deactivated without reactivation or replacement.


In addition, only electric golf carts are allowed on LBTS property, resident’s that currently have a gas-powered golf cart are grandfathered; however, any resident wishing to purchase a gas powered golf cart must be approved by the Security Committee.


We believe these actions are necessary to stop unauthorized access into Litchfield By The Sea, and we appreciate your cooperation as we strive to create a more secure environment for all residents.
